1. What to Bring:
a. Booth décor (nothing over 7 feet tall)
b. Holiday Inn will provide tables, 2 chairs per table, and linens (unless you
indicated you won’t need them)
i. Booth Size: One table= 8’ x 8’, Two Tables= 8’ x 16’
c. Extension cord if you requested electricity (if you require multiple outlets,
please provide your own power strip)
d. Marketing materials -- anticipated attendance is 200 planners
e. Nametags for your staff managing the booth (UEP will have blank name
tags available for those who need them)
f. Food and/or beverage, if desired
i. Caterers must bring their own chafers, serving ware, glassware,
paper products, etc. The hotel cannot provide these items. You
may not use the venue kitchen or coolers. Butane burners,
induction ovens and open flames are not permitted. Absolutely, no
cooking in the ballroom.
a. Vendor setup begins at 9:30 AM and runs until 10:45 AM
b. The showcase begins at 11:00 AM. Please be ready for attendees
immediately at 11AM.
3. Where to Unload:
a. Enter Holiday Inn through the hotel entrance and proceed to vendor
check-in/table assignment in the Ballroom Lobby.
b. The showcase will take place in the Wolverine Ball Room.
c. Please note there is no loading dock available. All traffic should come
through the hotel main entrance.
d. Please park in the lot and do not leave vehicles anywhere except for a
marked parking place. There is limited parking behind the property, so the
front-side parking lot is preferred.
4. Other important setup information:
a. The booth can be set up anyway you like, but tables/materials must fit
inside your space. Please keep your displays within the bounds of your
table and do not put items in the aisles, due to hotel/fire marshal
b. If you don’t want your chairs/table(s), please tell a UEP volunteer as soon
as possible upon your arrival so they can be removed.
c. Do not move your booth to a different location. The floorplan was carefully
arranged to meet many needs and to ensure the safety of our attendees.
Please work with the space you were given.
5. The show opens at 11AM and you absolutely cannot tear down until 2PM.
Q. Can I solicit outside of my booth?
A. Exhibitor and its representatives shall not congregate or solicit trade in the aisles.
Distribution of pamphlets, brochures or any advertising matter must be confined to
individual exhibit space.
Q. I want another table/different size table.
A. Any changes to tables must be requested by Friday, February 16. We will not be
able to replace or move tables on the day of the showcase.
Q. I DO need access to an electrical outlet.
A. Contact Caitlin Carmody or a UEP volunteer and we will try our best to help. Please
note that the number of electrical outlets is limited and we cannot guarantee access
unless you specifically requested it at the time of registration. If your request made

Q. I want a different booth space once I arrive and see my placement.
A. Unfortunately, we cannot change the assignments. Booths were assigned based on
multiple criteria such as exhibitor’s need for power/the closest outlet, exhibitor type (we
tried our best not to put competitors side-by-side), size of booth you requested, and
Q. How can I follow up with attendees?
A. UEP will compile the names and contact information of all attendees and will share
the list with you within one week of the showcase.
Q. I am a sponsor. How will my promotional items be collected and placed in
A. Caitlin Carmody will be visiting your location for pick-up, or coordinating mail-in
efforts if the one-off situation requires it. Anticipate the bulk of all pick-ups to take place
between 02/05/18 and 02/16/18. Caitlin will reach out prior to stopping by. If you have a
